ACCOUNTANT - Corporate Services
13-month parental leave contract, from December 1, 2021
SCOPE OF POSITION
Under the supervision of the Director of Finance & Corporate Services, provides accounting services to the Finance functions of the agency. The Accountant is responsible for the accurate and timely entry and maintenance of financial information into the accounting records and produces monthly reports, reconciliations and shares in all levels of accounting functions.
PRINCIPAL RESPONSIBILITIES AND DUTIES
- Performs and responsible for day-to-day accounting functions, including: financial reports, banking (including bank reconciliation), and internal controls, ensuring transactions are appropriately recorded in a timely and efficient manner.
- Creates and maintains schedules of amortization and asset records as required.
- Creates and maintains schedules of prepaid and records monthly transactions as required.
- Creates and prepares summaries and allocations for photocopies, postage, and office meeting space usage.
- Prepares internal and external (funder) financial reports, including variance analysis as required, at required intervals. Reports any significant discrepancies or material variances to the Director of Finance and Corporate Services.
- Responds as required to internal and external queries on financial issues, e.g. support to programs.
- Maintains all financial records, accounting systems, and source documents, including all accounting books and records related to the position.
- In conjunction with the Director of Finance and Corporate Services, assists with the preparation of funder-compliant budgets and reports.
- Assists the Director of Finance and Corporate Services with coordination and preparation of internal budgets for each program and consolidated center-wide budget integrating funding from all sources.
- Assists in the preparation of the annual audit by preparing the year-end financial reports for the “pre-audit” state in order to minimize the work required by external auditors during the financial audit.
- Prepares the annual CRA Registered Charities Return, ensuring compliance with the current Ministry regulations and is filed by the deadline.
- Ensures all statutory requirements are met related to the HST/GST compliance and filings. Ensures the HST return is filed by the bi-annual deadlines and follows up on receipt of payment.
- Performs financial analyses as required.
- Assists with financial system changes and upgrades.
- Follow-up on any finance-related issues with the appropriate authorities.
- Reviews and edits monthly payroll contribution spreadsheets.
- Prepares year-end reconciliation of payroll records and T4’s for main payroll register.
- Prepare other payroll- and benefits-related information and analysis as requested.
Back Up to Payroll
(Carries out the following as required during absences of the Finance Administrator and to ensure training and knowledge is up to date)
- Prepare bi-weekly payroll changes and input payroll information;
- Maintain staff timesheet records and prepare timesheet reports (attendance, leave earned and taken) for managers and staff on a regular basis;
- Prepare manual payroll cheques for casual and relief staff;
- Prepare Receiver General remittances for manual payroll according to CRA regulations;
- Prepare bi-weekly payroll spreadsheet, including payroll allocations to programs and Payroll Summary sheets for monthly General Journal entries;
- Prepare T4’s and Records of Employment for auxiliary payroll (casual and relief staff)
- Maintain up-to-date staff information for Group RSP plan, Group Health Plan and Group Insurance Plan administration;
- Follow-up on any payroll/benefits-related issues with the appropriate authorities.
- Ensures compliance with organizational decisions, policies and procedures within their area of responsibility.
- In collaboration with the Director of Finance and Corporate Services assists in the development and implementation for the financial component of the corporate services team work plan
- Keeps up to date on legislation, funder guidelines/requirements affecting WOCRC accounting systems, policies, procedures and practices, compensation, benefits, other expenditures and charity and GST/HST status.
- Performs other duties as requested by the Director of Finance and Corporate Services.
Education / Experience
- College/University degree with a specialization in Accounting, or equivalent;
- A minimum of 5 years of intermediate accounting experience and computerized accounting systems;
- Experience working in a not-for-profit, community-based health or social service agency.
- Ability to communicate fluently in English, spoken
- Other languages are an asset.

- Word processing – Intermediate;
- Donor software – Basic.
- Self-directed with strong organizational skills, attention to detail, analytical, writing and interpersonal skills;
- Demonstrated flexibility and effectiveness with a rapidly changing environment and short deadlines;
- Available to work flexible hours.
- Starting salary $49,063/year
