Medical Administrative Assistant, Whole Medicine Wellness Center

 

Whole Medicine Wellness Centre is a natural health clinic located in Kanata, Ontario with a focus on collaborative teamwork and excellent patient care. We are looking for an experienced, professional, and compassionate, part-time administrative assistant who loves to help people and has a knack for organization.

 

The successful candidate will be a motivated, go-getter who loves to accomplish tasks, thrives in a fast-paced environment and has knowledge of natural health care. As an administrative assistant, you will be responsible for providing administrative and patient support to ensure the efficient operation of the clinic; supporting our health team through a variety of tasks related to customer service, electronic medical record management, and administrative duties. You will communicate with the team and with patients via phone, in-person, text, and email ensuring accuracy and professionalism.

 

Applicants must be extremely comfortable on the phone, using multiple tech/online platforms and multi-task proficiently.

 

Responsibilities

  • Focus on Patient Needs: Anticipate, understand, and respond to the needs of patients to meet or exceed their expectations in a warm, and compassionate manner.
  • Communicate Effectively: Speak, listen, and write in a clear, professional, and timely manner using appropriate and effective communication tools and techniques.
  • Daily Operations: Answer and direct phone calls/emails/texts; book appointments and manage schedules/waitlists; manage transactions and utilize accounting systems; maintain patient records, recording, and updating personal and financial information with confidentiality; order supplies and manage inventory; produce and distribute emails, faxes, and forms.
  • Organization: Set priorities, ability to multitask in a busy environment, monitor progress towards goals, and track details/data/information/activities.
  • Solve Problems: Assess problem situations with both patients and technology, gather and process relevant information, generate possible solutions, and make recommendations and/or resolve the problem. Be able to create systems to improve the efficiencies of the clinic.

 

Requirements

  • Availability: Regular full-time hours totaling 35-40 hours per week. Hours and shifts are subject to change on a monthly basis based on the needs of the clinic.
  • Available to start training and regular shifts as soon as possible.
  • Previous reception (medical reception an asset), administrative assistant, and/or customer service experience
  • Extremely proficient in the use of computers, online QuickBooks/accounting software, online scheduling software, processing payments, Gmail, Google drive/docs/sheets, and adobe.
  • Skills Required: communication, social, confidentiality, computer, technology, communication, problem-solving, multi-tasking & team-player.
  • High school diploma
  • Interview availability - Must be available for an initial interview via a virtual platform & subsequent interviews in person.
