Your Mission:
The Scales Operator/Administrative Assistant oversees the scales and supports the completion of administrative and accounts payable tasks to ensure efficient and smooth day‑to‑day operations. The role ensures accurate scale readings, proper documentation, and effective coordination of material movement and contractor activity on site.
As the Scales Operator/Administrative Assistant, you will work closely with the Operations team to maintain records, support compliance requirements, communicate key information, and help uphold the company’s values through organized and reliable daily administrative support.
Here’s what an ordinary day of work might look like:
- Scaling trucks in and out, verifying weights, and ensuring the scale produces accurate readings.
- Directing all truck traffic according to the site’s traffic control plan.
- Preparing and delivering accurate scale reports for the City and customers as required by contract.
- Ensuring operational compliance with hours outlined in the Environmental Compliance Approval (ECA) and customer contracts.
- Managing contractor sign‑ins, including safety sheet reviews, acknowledgement forms, and proper filing.
- Communicating with third‑party dispatch regarding truck arrivals and status of incoming and outgoing material.
- Tracking material movement daily, weekly, and monthly, including tonnage and other information, and sharing updates with Operations.
- Coordinating the third‑party calibration of scales every six months.
- Creating and maintaining filing systems for operations and financial documentation.
- Maintaining WSIB/WorkSafe insurance certifications and liability certificates for all on‑site contractors.
- Providing administrative assistance to the Operations team.
- Maintaining financial historical records by filing documents accurately.
- Supporting audits by providing historical records (e.g., invoices).
This job is for you if you:
- Have completed post‑secondary education in accounting or business.
- Bring 2 years of experience in a similar role.
- Have intermediate to advanced skills in Microsoft Office, especially Word and Excel.
- Possess knowledge of general accounting principles (an asset).
- Maintain strict confidentiality in all company information and communications.
- Demonstrate strong attention to detail and accuracy.
- Can effectively multi‑task and prioritize work.
- Have excellent verbal and written communication skills.
- Are highly organized and able to meet deadlines.
- Hold a valid driver’s license.
- Fluency in English is required.
Compensation package:
- Hourly pay range of $21.23 - $26.54
Schedule:
- 2:30pm-7:00pm, Monday-Friday
About the salary range: A reasonable estimate of the hourly pay range is $21.23 $26.54 CAD at the time of this posting. Within the range, individual pay is determined by factors such as job-related skills, relevant experience, education and/or training. The upper end of the range is typically reserved for candidates with demonstrated expertise that is above job requirements or who bring exceptional directly transferable experience.
Vacancy status: This is an active vacancy for which we are currently hiring. The position is a maternity leave coverage role with an anticipated end date of January 2027.
